Job Description
Who We Are:
The Ohio Facilities Construction Commission (OFCC) oversees capital projects undertaken by state agencies and state-supported institutions of higher education; manages Ohio’s school facility programs which provide support for the construction and renovation of public K-12 schools; and administers the funding for community-based cultural and sports facilities projects.
The Commission sets uniform rules, procedures, and standardized documents for state construction under Chapter 153.
The legislature established the Commission in 2012 with the merger of the Ohio School Facilities Commission (OSFC) and the former Office of State Architect. In 2013, the Commission undertook oversight of the cultural facilities grants program. In 2017, the legislature further folded all OSFC duties and responsibilities into the Commission, thereby consolidating guidance and oversight for its various programs into one entity.
In 2021, the Commission celebrated 100 years of public construction in the Buckeye State.

The Ohio Facilities Construction Commission oversees capital projects undertaken by state agencies and state-supported institutions of higher education; manages Ohio’s school facility programs which provide support for the construction and renovation of public K-12 schools; and administers the funding for community-based cultural and sports facilities projects.
What You’ll Do:
A Project Coordinator:
- Assists on all assigned projects from beginning to completion
- Analyzes, coordinates, monitors & maintains all documentation created regarding the project
- Coordinates project records for inspection, production, and storage
- Researches information and prepares correspondence in response to inquiries and requests for information regarding a current or completed project
- Examines, assembles, prepares, inputs, and routes documents into our computer system for tracking purposes
- Follows up on delays to ensure timely execution of contracts within applicable timeframes
- Coordinates communication, schedules & attends meetings to receive direction
- Coordinates activities related to local administration requests
- e.g., manages incoming requests/applications, reviews & monitors progress, notifies agencies on issues, responds to inquiries & issues, tracks & reports on status/issues/results
- Provides education information to maintain local administration certifications
- Assists with higher education training certification program
- e.g., planning events, developing presentations, coordinating outside presenters, organizing AIA or other credits, tracks & reports on progress using Excel
- Provides support with updates to the SAO website
- Provides support with implementation of OAKS-CI
- Furnishes information & explains program to public & contractors, A/E firms, & consultants
- Performs other related duties

The State of Ohio is expanding maternity health care benefits available to state employees enrolled in the Ohio Med PPO and Ohio Med NN (narrow network) medical plan options. Examples of services now covered by network providers at 100% include:

Prescription drugs that are directly related to maternity care will be covered with no copay. The State of Ohio has collaborated with the prescription drug third-party administrator (OptumRx) to provide a list of covered medications that can be approved for zero copays via prior authorization from providers.

Qualifications
12 months experience as Accountant/ Examiner 2, 66112 with state government experience commensurate with duties to be assigned.
OR completion of undergraduate core coursework in accounting or 2 years’ experience in accounting.
OR completion of undergraduate core coursework in business administration, economics, computer science, or related field; 16 semester or 24 quarter hours in accounting.

Overview:
SPGB Architects, LLC is a 15-person full-service architectural firm located in Dublin, Ohio that specializes in the planning and design of higher education facilities, laboratories, and public works projects throughout Ohio. We are seeking a full-time Project Administrator.
SPGB’s staff work in an open studio environment and are exposed to all aspects of professional practice. This person will serve as the day-to-day facilitator of communication and documentation between our architectural teams and Owners, Consultants, and Contractors. They will help facilitate an orderly design process amongst many stakeholders representing diverse contract parties. They will also legally document progress and manage risk and thought continuity across months/years. This person will be embedded into our architectural teams with a two-fold mission: to collaborate with staff on external tasks while being self-sufficient on internal tasks. The ideal candidate will be self-motivated and a highly effective communicator. They will be expected to be self-sufficient, organized, and able to prioritize and coordinate tasks on multiple concurrent design and construction projects.
Responsibilities:
- Communication responsibilities include collaborating with our team leaders to ensure smooth project execution. This person will assist in the dissemination of project information and will establish and maintain clear lines of communication between team members.
- Facilitator of communication between architectural teams and external team members. This person will be able to identify and address project-related issues and escalate critical issues to the architectural teams for resolution.
- Documentation responsibilities include assisting the architectural teams during the design process; assisting during the bidding phase; maintaining project documentation during construction; assisting with logging and tracking submittals from the Contractor; and participating in the Construction Progress Meeting process.
- Implement process, format, and quality continuity across projects.
- Create, edit, and proof templates, documents, correspondence, reports, presentations, and other materials.
Qualifications:
- Experience or training in the Architecture/Engineering/Construction profession is preferred.
- Demonstrated experience with project coordinating or project assisting.
- The ability to prioritize and execute tasks, while communicating effectively, is crucial.
- Ability to coordinate numerous activities and meet project deadlines while maintaining a high attention to detail.
- Strong grammar skills and experience proofing and editing documents.
- Proficiency in the use of programs such as Word, Excel, PowerPoint, Outlook, and pdf editing software. Experience with Microsoft Project and SharePoint preferred.
